By using our website or applying for or maintaining membership at Clubhouse Edina, you agree to the collection and use of information as described in this Policy. This Policy applies to information collected through our website, membership application process, and day-to-day club operations.

We collect information you provide directly to us, information generated by your use of our facilities, and certain information collected automatically through our website.
Information you provide:
- Full name, email address, phone number, and mailing address
- Professional information including employer, title, and LinkedIn profile (if provided)
- Payment and billing information (processed securely through our payment processor)
- Membership application responses, referral information, and communications with our team
- Guest information you provide when registering a visitor
- Feedback, reviews, or event registration details you submit
Information generated through facility use:
- Access logs recording entry and exit times
- Room or simulator reservations and usage history
- Food, beverage, and hospitality transactions
- Security camera footage recorded in common areas (see Section 7)
Information collected automatically via our website:
- IP address, browser type, and device information
- Pages visited, time on site, and referring URLs
- Cookie and similar tracking technology data (see Section 8)
3. How We Use Your Information
We use the information we collect for the following purposes:
- Membership administration: Processing applications, managing your account, and communicating about your membership status.
- Facility operations: Managing reservations, access control, and the day-to-day services we provide to members.
- Billing and payments: Processing dues, charges, and refunds securely.
- Communications: Sending you updates about your membership, event invitations, important policy changes, and – where you have opted in – promotional messages about Clubhouse Edina offerings.
- Safety and security: Maintaining a safe and secure environment for all members, guests, and staff.
- Legal compliance: Meeting our obligations under applicable law, responding to lawful requests from government authorities, and enforcing our Terms and Conditions.
- Service improvement: Understanding how our facilities are used in order to improve the member experience.
We do not sell your personal information to third parties. We do not use your information for automated decision-making that produces legal or significant effects without human review.
4. Sharing Your Information
We do not sell, rent, or trade your personal information. We may share your information only in the following limited circumstances:

5. Data Retention
We retain your personal information for as long as your membership is active and for a reasonable period afterward to comply with our legal obligations, resolve disputes, and enforce our agreements. Specifically:
- Active member records are retained for the duration of membership plus 5 years.
- Payment and billing records are retained as required by Minnesota and federal tax law (generally 7 years).
- Security camera footage is retained for 30 days unless required for an ongoing investigation.
- Website analytics data is retained in aggregate form for up to 24 months.
You may request deletion of your personal data as described in Section 9. Note that we may be required to retain certain records regardless of a deletion request.
6. How We Protect Your Information
We implement commercially reasonable administrative, technical, and physical safeguards to protect your personal information against unauthorized access, disclosure, alteration, or destruction. These include:
- Encryption of payment data in transit and at rest via PCI-compliant payment processors.
- Restricted staff access to member records on a need-to-know basis.

While we strive to use commercially acceptable means to protect your information, we cannot guarantee absolute security. 7. Security Cameras
Clubhouse Edina operates security cameras in common areas of our facility for the safety and security of members, guests, and staff. Cameras are not placed in private offices, restrooms, locker rooms, or any area where members have a reasonable expectation of privacy. Camera footage is accessible only to authorized Clubhouse Edina personnel and, where legally required, law enforcement.
8. Cookies and Website Tracking
Our website uses cookies and similar tracking technologies to improve your browsing experience and understand how visitors interact with our site. The types of cookies we use include:
- Essential cookies: Required for the website to function properly. These cannot be disabled.
- Analytics cookies: Help us understand how visitors use our site (e.g., pages visited, time on site). Data is collected in aggregate form.

Clubhouse Edina is a private professional club intended for adults 18 years of age and older. We do not knowingly collect personal information from individuals under the age of 18. If you believe we have inadvertently collected such information, please contact us immediately and we will take steps to delete it.
11. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or applicable law. When we make material changes, we will notify active members via email at least 14 days before the changes take effect, and we will update the “Last updated” date at the top of this page. We encourage you to review this Policy periodically.
